merchOne Asks: Does Your POD Have a Fair Return Policy?

Running a print-on-demand business is an exhilarating ride. You’re responsible for bringing creative visions to life, delighting customers with unique products, and building your brand too. Hey, at least you don’t have to worry about inventory headaches!

But let’s talk about the elephant in the room (or perhaps, the slightly misprinted elephant on the T-shirt). Sooner or later every POD seller has to deal with returns.

In the world of custom-made merch, returns aren’t as simple as sending back an off-the-shelf item. How your print-on-demand partner handles returns can make or break customer relationships – and it’s a hard road trying to build a business without good word of mouth and return custom.

So it’s time to ask: is your POD provider’s return policy truly fair, transparent, and designed for success?

What’s the Standard Print on Demand Return Policy?

The POD landscape is famously diverse – and that also applies to the ways big platforms approach returns. Let’s have a peek at some current practices in the industry (keeping in mind policies can evolve!):

  • Printful: Generally handles issues related to their fulfillment (damage, misprints) if reported within a specific timeframe. Seller typically manages customer preference issues.
  • Gelato: Similar to Printful, mainly focused on replacing/refunding items only if they have quality defects originating directly from production.
  • Printify: Acts as a middleman, so policies can depend on the specific print provider chosen through their platform. Will handle claims for production errors, but generally expect sellers to deal with more subjective claims themselves.
  • Redbubble & Zazzle: As marketplaces, they often have more direct-to-consumer policies. They’ll sometimes offer exchanges/refunds if the issue relates to sizing or style, but this can impact the seller’s earnings. Both platforms manage customer service directly.

So we can see a pattern emerging. Of course reputable POD providers will step up when they’re directly responsible for a fulfilment issue – printing errors, damaged goods. But when it comes to the grey areas, things can get trickier.

What if the customer didn’t like the color? Or the fit wasn’t quite what they imagined? If you’re partnered with one of the big players, you can be left unsure of when responsibility for returns falls back on you, the seller. That’s confusing and stressful.

Why a Fair Returns Policy is a Long-Term Investment

When you’re choosing a POD partner, their returns policy might not be your top priority. But experienced sellers know how crucial a factor this is – not just for your own peace of mind as you get established, but for the success of your business in the longer term.

Ensuring that your fulfilment partner’s policy is not just fair but also clear brings a number of benefits:

  • Builds customer trust: When customers know there’s a reasonable process for fixing genuine problems, they feel more confident buying from you.
  • Protects brand reputation: Handling returns smoothly prevents negative reviews and fosters loyalty.
  • Reduces hassle: Knowing who handles what (and how) saves you time and administrative headaches.
  • Ensures legal compliance: This is especially crucial if you operate in multiple regions with differing regulations (think EU/US).

If your fulfilment partner can provide all this, they’ll truly be a partner in every respect – helping your business grow by clearly stating their responsibilities and by stepping up to honor them even when things go slightly awry.

For Clarity & Fairness, Choose merchOne

At merchOne, we believe a transparent and fair return policy is fundamental to a healthy partnership. We’ve designed ours with clarity and market compliance in mind, clearly distinguishing the seller’s responsibilities from our own.

Here’s how it works:

Subjective Complaints are the Seller’s Responsibility

merchOne does not refund subjective claims, so issues like personal preference (“I thought the blue would be lighter”), minor variations that don’t impact function, or general satisfaction fall under your domain. To minimize the volume of claims made, we encourage clear expectation-setting and good communication with your buyers.

Physical Defects are merchOne’s Responsibility

We’ve got your back when things are demonstrably wrong with the product itself. Examples would include:

  • Broken or damaged frames
  • Significant printing errors (e.g. major misprints or clear deviations from the original design)
  • Material defects (such as torn canvases)

Our Damage Claims Process

Our partners appreciate the clarity and simplicity of our 3-step claims process:

  • You report: Send us at least two photos, one where the issue is clearly visible, and one showing the entire product.
  • We verify: We’ll check the evidence to confirm the issue.
  • We resolve: If the damage claim is upheld, we’ll reprint the product to get it right. In the exceptional circumstance that a successful reprint hasn’t been achieved after the 3rd attempt, we’ll issue a refund in accordance with regional regulations.

Our Policy on Shipping Costs for Returns

If a parcel bounces back to us, we’ll hold it for about 7-10 days. We’ll need you to contact us within this window (ideally within 7 days) with updated shipping info*.

We reserve the right to charge for returns/reshipments if the issue stems from:

  • Incorrect addresses provided by the customer/seller.
  • The end customer missing the delivery attempt.
  • Failure to pick up the package from a designated point.

*If we don’t hear from you, the parcel is discarded (we lack storage space!), and a new order is required.
